MAXIMUS Assistant Manager - Facilities in Austin, Texas

The Assistant Manager - Facilities is responsible for planning, implementing, and overseeing facility tasks for the EB Call Center in Austin, Texas, and outreach offices in Houston and Arlington. The position also supports requests from outreach staff throughout the State of Texas.

  • Possess a firm knowledge and understanding of facility lease agreements for all EB locations.

  • Serve as first line of on-site leadership for any facility-related items including responding to and addressing all facility requests submitted by staff via the facility task management system.

  • Ensures compliance, workforce security and safety by planning, implementing and overseeing facility management.

  • Provide expertise and define facilities management requirements to meet all company goals and needs. Coordinate and execute all moves and space plans.

  • Coordinate with NXP and HHSC for fire drill. Facilitate Safety Committee on a monthly basis.

  • Ensure and oversee the appropriate response to all emergencies and crisis situations to ensure compliance as outlined in the Disaster Recovery Plan. Serve as an initial point of contact for matters pertaining to physical security.

  • Assesses and monitors facility repairs to ensure cost effectiveness and establishes procedures and schedules for repair and maintenance. Oversees facilities vendors including purchasing and vendor payments related to multi-copier services, office supplies services, confidential document destruction services, mailing services, furniture repairs/installation, and vending services and maintain, manage, and order office supplies for EB Call Center Operations and EB Outreach offices.

  • Manage day porter responsible for the cleanliness of the restrooms, break room, and other common areas within the leased space. Establish initial communication with all lessors regarding facility issues.

  • Participate in all planning and budgeting associated with facility needs. Assist in forming and administering budgets in consultation with Finance and Management.

  • Oversees the functioning of building systems including mechanical, electrical, fire/life safety, elevators, heating, ventilation and air conditioning (HVAC). Remotely manage and coordinate facilities tasks for the EB Outreach offices located in Arlington and Houston, Texas. Occasional travel to EB Outreach offices to visit site and address facility concerns as necessary.

  • Coordinate facility preventive maintenance schedule with NXP and EB management. Participate and coordinate the Security Management Plan, Disaster Recovery Plan, and other plans as required by contract.

  • On call 24/7 to address the aforementioned items.

  • Performs other duties as may be assigned by management.

  • High school diploma.

  • 3 years of supervisory/management experience.

  • Facility Management Professional (FMP) certification preferred.

  • In depth knowledge of facility management operations.

  • Excellent listening, and verbal communication skills.

  • excellent interpersonal, negotiation, facilitation skills.

  • Ability to multi-task and handle numerous assignments simultaneously.

  • Above average computer literacy.

  • Highly developed problem solving skills preferred.

  • Excellent organizational and written communication skills preferred.
